Booking and cancellation conditions for IWA Leisure Travel South Africa

Upon receipt of a completed and signed Booking Request Form IWA Leisure Travel will make provisional reservations for Flights, Accommodation and other services as necessary and send you a Confirmation of Reservation and an Invoice. A reservation will only be considered as a Confirmed Booking on receipt by IWA Leisure Travel of a NON-REFUNDABLE deposit of 25% per booking and a completed and signed Booking Form. Failure to comply with this requirement within 7 days of our advice may result in automatic cancellation of your reservation. When a booking is made less than 8 weeks prior to departure date full payment is required. Should a booking be cancelled BEFORE the deposit has been paid, a service fee of R500.00 will be payable per booking placed to cover all admin done.

Cancellation of any Confirmed Booking must be received in writing. If a booking is cancelled IWA Leisure Travel shall retain the full 25% deposit. On cancellation the following rules apply concerning the notice period given:

1. If 8 weeks or more is given, only the deposit is forfeited OR a service fee may be charged.


2. If less than 8 weeks notice is given, the deposit and an additional cancellation fee will be payable as follows:
   Within 8-6 weeks - 40% of package price
   Within 6-3 weeks - 60% of package price
   Within 3 weeks - 100% of package price
   
3. When a replacement is found by the person who is canceling, only a change of booking fee will be charged. If airfares have already been paid over to airlines to avoid increases, the airlines reserve the right to refund on their own terms and conditions and this is not refundable by IWA Leisure Travel until the amount has been paid over by the airline concerned.
   
4. If, for any reason whatsoever, you fail to appear for any flight for which a valid ticket has been issued or at the reserved place of accommodation, arrive later or leave prior to completion of booked period of time, this will be considered as Cancellation without notice and NO reimbursement will be considered.
   

CHANGE OF BOOKING FEE
If, after confirming, you wish to amend your booking in any way, you may do so, subject to availability of your revised requirements and the payment of a change of booking fee of R250.00 per person. Where a change is made within 7 weeks of departure, normal cancellation procedures may also apply.

FORCE MAJEURE
In the event of any change, delay or unscheduled extension to the holiday caused by flight delays, bad weather, strikes or any other cause over which we have no control, IWA Leisure Travel will do all possible to assist to mitigate the problem but cannot be held responsible for any expenses incurred as a result thereof.

LIABILITY
IWA Leisure Travel, their employees and affiliates do not accept any responsibility for any client or dependant thereof in respect of any loss, damage or theft of property or any inconvenience experienced from time of departure to time of return. We do not accept responsibility should any client choose a resort that does not , upon arrival, suit the clients expectations as the overall choice is that of the clients.

PRICE
The price quoted is valid at the time of invoicing but is dependent on exchange rate fluctuations and changes in airfares and accommodation rates. IWA Leisure Travel retains the right to adjust this price in respect of any fluctuations to the above until such time as full payment and all documentation are received. IWA Leisure Travel guarantees not to surcharge or increase any prices after receipt of full payment.

DOCUMENTS
Once full payment has been received, your travel documents in the form of airtickets and vouchers for the accommodation and services will be issued to you. Where necessary a detailed itinerary will be provided. Overseas Courier costs will be for your own account.

INSURANCE
Comprehensive travel insurance is strongly recommended. This insurance should provide cover for cancellation and curtailment costs in case you are unable to travel or must cut your journey short, for personal accident and medical costs and for loss of or damage to baggage.

PAYMENTS
Payment of the full contract price due shall be paid, with a minimum deposit of 25 % per booking upon receipt of invoice and as to the balance not later than 8 (eight) weeks prior to the scheduled departure date. Direct bank transfers, cash, bank guaranteed cheques and credit cards will be accepted as payment.

GROUP BOOKINGS
When one person makes bookings for other people, this person is binding these people to the booking conditions. The person making the booking is liable to IWA Leisure Travel.

COLLECTION
Collection of all documents are the passengers responsibility and all courier fees incurred for documents delivered Internationally are for the clients account.

IMPORTANT
It is the passengers responsibility to ensure that you are in possession of all travel documents such as visas, passports, yellow fever certificates etc pertaining to your particular package purchased. It is your responsibility to enquire and to ensure that these documents are all in place prior to travel. IWA Leisure Travel staff will assist wherever possible but do not undertake to complete these travel documents on behalf of any passenger.
